Communication Center

We will assist and advise ORGANIZATION on handling of general owners concerns [e.g. account ledger, violations…] and will provide requested information.

  • Assist in the fielding of Owners’ requests
  • Assist in the fielding of Owners’ accounts concerns
  • Assist in the fielding of Owners’ violations concerns
  • Assist in the fielding of Owners’ maintenance concerns

Bookkeeping services

We will maintain an operating account and a reserve account in a financial institution that insures deposits up to the maximum authorized by the Federal Deposit Insurance Corporation. All accounts will be in the Association’s name and MANAGER further covenants, represents and warrants that in all dealings with the account it will act as MANAGER for the Association, will not commingle the funds in the accounts with its own funds or the funds of other Associations and will hold all such funds of the Associations in the trust for the benefit of the Association. MANAGER shall not be responsible for the failure of the depository where accounts are maintained.

  • Collect and deposit all payments in the ORGANIZATION’s accounts
  • Pay vendor invoices/bills on behalf of the ORGANIZATION
  • Keep records of receipts and disbursements in connection with the operation
  • Reconcile bank statements of the ORGANIZATION’s accounts
  • Assist to carry out and enforce the delinquency/collection policy
  • Attempt to collect on ORGANIZATION’s delinquent accounts
  • Transfer delinquent accounts to collection firm to file assessment liens and pursue collections

Administrative Services

We will advise the Association in generally accepted industry standards and proper record keeping (meeting minutes, correspondence, files, etc.). MANAGER will assist in the preparation of notices and forms.

  • Assist in providing owners with payment statements/coupons
  • Assist in the preparing notices and government forms
  • Assist in providing the CPA with general information to prepare the tax returns and year-end financial reports
  • Assist in providing vendors with general information to perform services [e.g. reserve study, audit…]
  • Assist in providing the ORGANIZATION with general information to prepare annual budget
  • Assist in distributing the annual budget to the ORGANIZATION’s owners

Vendor Dispatch Center

We will assist and advise the Association in the development and execution of the Association’s long term strategy. The MANAGER will handle the day-to-day maintenance issues below $1,000.00 and will attempt to obtain 2-3 bids for projects exceeding $1,000.00 for Board review.

  • to assist, in conjunction with the Board, the Association’s deferred maintenance plan
  • to assist the Association with its vendor management
  • to assist with keeping the expenditures within the authorized budget
  • to assist in monitoring the principal risks of the Association
  • to assist the Association in maintaining high standards of ethics in meeting its responsibility
  • to assist with the material undertakings and activities of the Association
  • to assist and make available information to the Board so they may form appropriate judgments
  • to assist and advise the Association in generally accepted industry standards and proper record keeping
  • to assist with procurement of goods and services necessary for the operation of the Association
  • to assist and attempt, with reasonable efforts, to implement the directions of the Board, in its majority; subject to additional compensation, limitations within this AGREEMENT, governing documents and Federal/State Laws

The CMCA certification provides standards for association management that can give owners and board directors confidence in their manager’s knowledge and ability to provide professional service.
